- Where are we at?

As of December, 2007, the majority of the moves have taken place with the opening of Academic Office One, the Library, Education 1, Education 2 (North and South), ongoing moves within Building 500, and backfilling the 400 series buildings. The next project to go on line is Research 2 which will begin in August, 2008.

The team members listed below will be your first contacts in planning for your  program/department relocation to or within the Anschutz Medical Campus.  Each project will have a primary Transition Project Manager assigned.

We continue working in a coordinated effort with Facilities Operations to include Building Services, Fire and Life Safety, Locksmith, Materials Management, Mail Center, Parking, as well as  Information Systems, Environmental Health and Safety, Space and Asset Management (SAM),  Security and ID Access, and University Police due to the impact of such a major relocation. This team is committed to a very smooth and successful transition not just for the University but for you as a customer. 

What to expect?

Who will be moving us?
Prestige Corporate Relocation
has been awarded a contract for the physical relocation from 9th Ave to Anschutz Medical Campus.  This is the same vendor who moved staff from the 9th Ave School of Medicine to the Research Complex I, School of Dentistry to Lazzara Oral Health and Barbara Davis Center for Childhood Diabetes. Having them on board during this transition will enable us to be that much more efficient in future moves because of their familiarity with all of our campus locations and an understanding of our complexities.  Prestige Corporate Relocation will provide all necessary materials for your moves from labels to boxes to library carts to security totes (for confidential files). 

Prestige Corporate Relocation has subcontracted with Clean Harbors Environmental Services for any moves that involve chemicals.

Planning for Your Move:

A Transition Plan for the Transition to Anschutz Medical Campus has been created and can be viewed here.

As we are nearing the transition to Anschutz Medical Campus, there are some things you can think about now. 

Identifying a Move Coordinator:
Each area will be asked to identify a move coordinator who will be the main point of contact for your areas. The Transition Project Manager will initiate a meeting with the designated Move Coordinator to go over their roles and responsibilities. From that point, all communication to and from each department will be done through the Move Coordinator.  The Move Coordinator will also be responsible for ensuring the completion and submission of their departments Move Request Packet.  The Move Coordinator should be someone who is very familiar with their departments functions and be able to make decisions for the department.  In addition to a Move Coordinator, wet labs will need to identify a Lab Coordinator that will deal directly with lab issues and be the contact with Health and Safety. The Move Coordinator and the Lab Coordintaor can be the same person but the Lab Coordinator needs to be familiar with the lab, chemicals used, lab equipment, etc. 

Each Move Coordinator will be provided a Move Coordinator Manual designed to assist them in their role.  Move Coordinator Manual Contents are:

The core of your move planning. Packet facilitates all aspects of your transition from phones, to keys, to mail.

The manual also includes Floor Plans and Packing Guidelines specific to your areas..

What am I taking with me and how do I dispose of or transfer items?
Equipment and/or Furniture:
To avoid a rush at the last minute, you can think about what items you will be relocating with you and then begin thinking about how to dispose of items you are not taking.  Disposal information, procedures and forms can be found at http://administration.ucdenver.edu/admin/policies/fiscal/fp1-02.pdf .   Go to page 10, there you will find all necessary disposal request forms, inter-departmental equipment transfer forms and a Table of Contents indicating the page number of instructions for each type of equipment transaction.

Once you have gone through the disposal process for equipment and furniture,  these items will be removed  from your area as part of the form submission process. Once Space and Asset Management processes your disposal form, they will forward the form to Facilities Operations to be placed on a schedule for pick up. Questions related to the pick up schedules should be directed to Del Quiel at ext. 41015.

Files:
You can begin going through your files and making arrangements to have them stored at our contracted off site facility. If you have confidential files to be shredded, you can make arrangements with our contracted vendor or you may use another outside vendor to do so.  You may find additional information about our contracted vendor  at http://www.uchsc.edu/facilities/records/

If you find that you will have a large amount of items to be disposed (not computers, equipment or furniture) you may contact Facilities Operations at Extension 41777 to make arrangements for a large bin to be brought to your area.

Your Transition to the Future Forums
If you are still located at the 9th Avenue campus and will be moving to AMC sometime this summer/fall you’ll want to attend one of our Your Transition to the Future Forums. The General forum will cover basic changes between the campuses – parking, ITS, ID Access, etc. as well as general information you will need to know before you move. The Health & Safety forum is specific to labs moving and will cover the green tagging process, radiation issues, freezer moves, chemical moves, etc.

We have two dates for each forum set up as follows and all forums will be held in the SOM 2nd floor lecture hall, room 2836:

General Forum
July 23rd , 1:00 p.m. – 3:00 p.m.

Health & Safety
July 21st, 1:00 p.m. – 3:00 p.m.
